This policy explains how SportCover NI (“we”, “us”) collects and uses personal information when you use sportcoverni.co.uk. We are the data controller for the information described here. Contact: admin@sportcoverni.co.uk.
Information we collect
- Account details: name, email address, account type and a securely hashed password.
- Practitioner, coach and student profiles: professional title, location, experience, qualifications, registrations, biography, employment history, equipment requirements, photo, and for students your university or college, course, year and expected graduation.
- Private contact details: the telephone number and recruitment email you add to your profile.
- Documents: CVs and qualification certificates you upload.
- Club information: club name, location, sports, teams, description, logo, links and public contact details, and the representatives who manage the club.
- Activity: listings, applications and their status, reviews and replies, reports, notifications and email preferences.
- Subscription details: plan, status, billing dates and promo codes used. Card payments are handled by Stripe — we never see or store your full card details.
- Technical data: a login cookie to keep you signed in, and basic server logs used for security.
How we use it and our lawful basis
- To provide your account, profile, listings, applications and subscription (performance of our contract with you).
- To send account, security, application and billing emails (contract and legitimate interests).
- To review profiles, clubs and reviews before publication and keep the platform safe (legitimate interests).
- To meet legal, tax and accounting obligations (legal obligation).
What is public and what is shared
Approved practitioner profiles and club profiles are public, along with published listings and approved reviews. Your private telephone number, private email and documents are never shown publicly. They are shared only with a club you apply to, and only the contact details you have chosen to share and the documents you attach to that application. If you withdraw an application, the club can no longer see your contact details or documents.
Who we share data with
We use trusted processors: Stripe (payments), Resend (email delivery) and our hosting provider. We do not sell your data or use it for third-party advertising.
How long we keep it
We keep your information while your account is open. If your account is closed or deactivated it is removed from public view, and we delete or anonymise personal data within 12 months unless we must keep it longer (for example billing records, which are kept for six years for tax purposes). You can delete documents yourself at any time.
Your rights
Under UK GDPR you can ask to access, correct, delete, restrict or move your personal data, and object to how we use it. Email admin@sportcoverni.co.uk and we will respond within one month. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
Cookies
We only use an essential cookie to keep you logged in securely. We do not use advertising or tracking cookies.
Changes
We may update this policy and will show the date of the latest version above. Significant changes will be notified by email.
